Triggers and their types

 

To work more effectively with clients at various stages of the sales funnel, you can set up the following triggers (automated actions):

- Auto-task

- Auto-message

- Deal Source

- Write off Product/Service

- Change Funnel/Stage

- Duplicating to Funnel/Stage

 

Auto-task

This function allows you to automatically assign tasks to employees when a deal reaches a specific stage, reminding or notifying them of what needs to be done.

To set up an Auto-task, follow these steps:

1. In the list of triggers at a specific deal stage, select "Auto-task."

2. Specify the category.

3. Choose the responsible person.

4. Add a completion time.

5. Add a description.

Example of a filled-out Auto-task:

Auto-message

This type of trigger allows you to automatically send messages to the client when their deal moves to a specific stage.

To set up an Auto-message, follow these steps:

1. In the list of triggers at a specific deal stage, select "Auto-message."

2. Specify the sending time or add a new time for the trigger to activate (time is set in minutes).

3. Choose the channel for sending the message (if multiple channels are selected, the message will be sent to the messenger where the client is registered).

4. If the message needs to be sent through all channels to all messengers, enable the "Send through all channels" setting.

5. Write the text for the auto-message and click the "Create Auto-message" button.

 

6. Select the channel(s) for sending the message. (If multiple channels are selected, the message will be sent to the messenger where the client is registered).

If you need to send the message through all channels to all messengers, enable the "Send via all channels" setting.

7. Write the text for the auto-message and click the "Create Auto-message" button.

 

Deal Source

The "Deal Source" trigger allows you to track where the client wrote from and automatically move the deal to a specific stage in the funnel.

There are two sources available in the trigger settings:

  • Website
  • Channel

The "Website" source allows you to set up a feedback form on your website. When a client fills out this form, the deal will move to a specific stage.

To set up deal creation from a website, follow these steps:

1. In the list of triggers at a specific deal stage, select "Deal Source."

2. By default, the source is set to "Website." Leave this setting unchanged.

3. Add the deal source name.

4. If necessary, add a responsible person and tags.

5. Next, you will see the default field names for requests, which can be modified if needed.

6. On your side, set up the request submission to our URL and save the trigger.

 

The "Channel" source allows you to automatically create deals at a specific stage when a client writes through a specific communication channel.

To set up a communication channel as a deal source, follow these steps:

1. In the list of triggers at a specific deal stage, select "Deal Source."

2. By default, the source is set to "Website." Change this setting to "Channel."

3. Add the deal source name.

4. Specify the desired channel.

5. If necessary, add a responsible person and tags.

Write Off Product/Service

Products and services can be automatically written off when a deal moves to a specific stage.

To set up automatic write-off, follow these steps:

1. In the list of triggers at a specific deal stage, select "Write Off Product/Service."

2. Switch the trigger setting to "On."

 

3. Now, when the deal moves to this stage, the product/service in the deal will be automatically written off.

 

Changing Funnel/Stage

When a deal moves to a specific stage, its funnel/stage can be automatically changed.

To set up automatic funnel/stage change, follow these steps:

1. In the list of triggers at a specific deal stage, select "Changing Funnel/Stage."

 

2. Choose the Funnel/Stage and click the "Create" button.

3. Switch the trigger setting to "On."

4. Now, when the deal moves to this stage, it will automatically be duplicated to the chosen funnel/stage.

 

Duplicate to Funnel/Stage

When a deal moves to a specific stage, a duplicate can be automatically created in another funnel/stage.

To set up automatic duplication, follow these steps:

1. In the list of triggers at a specific deal stage, select "Duplicate to Funnel/Stage."

2. Choose the Funnel/Stage and click the "Create" button.

3. Switch the trigger setting to "On."

4. Now, when the deal moves to this stage, it will automatically be duplicated to the new funnel/stage.
