Templates for creating, editing, and deleting records

These message templates are designed to be sent when specific events occur in your Altegio branch’s log, without specifying a specific send time.

To configure templates in this category, go to "Settings" → "Message Templates" → "Altegio" → "Create/Edit/Delete Entry".

In this section, you can either create a new template by clicking the blue “Create a Template” button or edit an existing one by clicking the pencil icon in the “Actions” column.

Clicking either of these buttons will open the template editing mode.

"Enter Template Name" – enter the template name in this field. For your convenience, we recommend entering a name that indicates which event the template applies to (for example, "Create Record").

"Variable Language" – in this field, you specify the language in which variables will be displayed in the template.

"Channel" – in this field, you select the channel on which the template will operate. If you select “Default,” the template will run across a channel cascade (read more about channel cascades in this article).

“Limit the number of messages per hour to a single client” – If you specify a certain number, the customer will stop receiving notifications related to the event in question. For example, if you enter “3” in this field and the customer receives 3 such templates within 10 minutes, they will not receive any more such messages for the rest of that hour.”

"Time after which the message will be sent (in minutes)" – in this field, you can set a delay so that the template is not sent immediately after it is triggered."Event Type" – in this field, you select the event that triggers the template.

When selecting the “Record Creation” event, you can choose which recording method the template will work with: any method, online recording, or log-based recording.

"Recurring Appointment" – this option prevents the template from being sent multiple times if the feature to create multiple appointments at once is used.

When selecting the "Edit Appointment" event, you can specify which changes will trigger the template: changes to services, technician, date/time, or visit duration. Additionally, options related to changing the appointment status and changing the client are available.

When selecting the “Appointment Deletion” event, no additional settings are available.

Important: The appointment deletion template only works when the appointment is deleted in Altegio. If you change the status to “Client Did Not Show Up,” you must use the “Edit Appointment” event type with the “Client Did Not Show Up” change type; otherwise, the client will not receive a notification.

"Select Recipient":
Client – the notification is sent to the client specified in the Altegio record.
Technician – the notification is sent to the technician specified in the Altegio record.
Administrator – the notification is sent to the number specified in the general settings of your Message.Help project as the administrator’s number.
Director – The notification is sent to the number specified in the general settings of your Message.Help project as the director’s number.
